Refund Policy
Last updated: September 24, 2026
We understand that plans can change. This policy explains how consultation fees, deposits, and surgical payments are handled if you need to reschedule or cancel. Your signed financial agreement and surgical scheduling documents provide the final terms for your procedure. If they differ from this page, those documents control.
Consultation fees
Any consultation fee is explained when you schedule. Your Patient Care Coordinator will tell you the amount and whether it can be credited toward a procedure.
- Please give as much notice as possible if you need to reschedule or cancel a consultation.
- Late cancellations or missed appointments may forfeit any consultation fee paid.
Surgical deposits
A deposit is required to reserve your surgery date. It is applied to your total surgical fee.
- The deposit amount, and whether and when it is refundable, are listed in your financial agreement, which you will review and sign before your date is reserved
- Late cancellations may forfeit the deposit, because the surgical team, facility, and anesthesia time have been reserved for you
Final payment
The balance of your surgical fee is due before your procedure, on the date listed in your financial agreement. Your surgery date may be released if payment is not received on time.
Rescheduling
- If you need to reschedule, contact your Patient Care Coordinator as early as possible. With enough notice, your deposit can usually be transferred to a new date
- Changes close to your surgery date may be treated as a cancellation under your financial agreement
Cancellations for medical reasons
Your safety comes first. If Dr. Pancholi decides that surgery should be postponed or cancelled for medical reasons, such as abnormal pre-operative test results, a new health condition, or weight changes, we will work with you to reschedule. Any payments you have made will be applied to your new date or handled as described in your financial agreement.
Non-refundable costs
Some costs can't be recovered once they're incurred. These may include:
- Pre-operative lab work, testing, and medical clearances
- Implants or supplies ordered specifically for you
- Compression garments and post-operative supplies already provided
- Third-party facility or anesthesia fees that have already been paid
After surgery
Surgical fees pay for the professional services, facility, and care you received, not for a guaranteed result. Fees are not refunded once your procedure has been performed. If you have concerns about your results, please contact us. Dr. Pancholi will review your recovery with you, and any additional procedures and their costs will be discussed openly.
Financing
If you paid with third-party financing (for example Alphaeon Credit, CareCredit, or PatientFi), any refund we approve is returned to the lender, not to you directly. The lender's terms govern your loan, interest, and repayment.
How refunds are issued
Approved refunds are issued to the original form of payment promptly after approval. Card refunds may take several more days to appear, depending on your bank.
